Role Overview
CLUES is seeking a full-time Executive Assistant to support the President and CEO while managing daily operations and communications for the executive office. This role serves as a key liaison to the Board of Directors and Executive Team, helping coordinate meetings, communications, scheduling, projects, and board activities in a fast-paced nonprofit environment focused on advancing equity and wellbeing for Latino communities in Minnesota.
Responsibilities
- Support the President and Executive Team with internal and external communications, correspondence, scheduling, and executive office operations.
- Draft communications, invitations, thank-you notes, reports, and other executive-level documents in English and Spanish.
- Coordinate board and committee meetings, prepare agendas and board packets, take meeting minutes, and maintain official board records.
- Manage calendars, appointments, travel arrangements, meetings, conferences, and virtual meeting logistics.
- Respond to emails and inquiries on behalf of leadership and route communications appropriately.
- Support event planning, consultant project coordination, outreach activities, and executive projects.
- Maintain contact databases and mailing lists for board members, elected officials, funders, and community stakeholders.
- Process administrative tasks including filing, data entry, expense documentation, contracts, approvals, and records management.
- Ensure confidentiality and compliance with HIPAA, agency policies, and ethical standards.
- May supervise interns and volunteers as assigned.
Qualifications
- Associate or bachelor’s degree preferred.
- 3–4 years of executive administrative support or project leadership experience required.
- Strong organizational, communication, multitasking, and project coordination skills.
- Ability to work independently in a fast-paced team environment while managing confidential information professionally.
- Strong business writing and verbal communication skills in English required. Bilingual English/Spanish preferred.
- Proficiency with Microsoft Office, Outlook, Excel, PowerPoint, DocuSign, virtual meeting platforms, databases, and email systems.
- Experience with community-related project management preferred.
- Strong cultural awareness and passion for serving Latino communities.
- Must pass a criminal background check.
Payment
$23.75–$28.00 per hour depending on qualifications and experience.

Schedule
Full-time position.
Monday–Friday during standard office hours.
