Role Overview
Mayo Clinic is seeking a full-time Patient Appointment Services Specialist (PASS) to support patient scheduling and healthcare coordination across multiple departments in Rochester, Minnesota. This hybrid role focuses on assisting patients and healthcare providers by coordinating appointments, managing scheduling requests, and supporting patient care operations through excellent customer service and communication.
PASS team members use electronic scheduling systems and patient information to coordinate complex appointments, multi-specialty itineraries, and patient visit logistics while supporting Mayo Clinic’s patient-centered care environment.
Responsibilities
- Schedule, confirm, and coordinate patient appointments across multiple departments and specialties.
- Use electronic scheduling systems and patient-specific information to determine appointment needs accurately.
- Coordinate complex scheduling arrangements including multi-specialty itineraries.
- Update and maintain patient electronic health information, including insurance details.
- Provide professional phone support and customer service to patients and healthcare teams.
- Navigate multiple computer systems and scheduling platforms simultaneously.
- Communicate effectively with patients, providers, and care teams regarding scheduling needs and requests.
- Support efficient clinic operations while maintaining accuracy, attention to detail, and patient confidentiality.
Qualifications
High school diploma or GED with a minimum of two years of customer service experience in a fast-paced, multitasking environment such as:
Call centers
Administrative offices
Medical offices
Appointment scheduling
Retail or service industries
OR
Associate degree required in place of experience.
Candidates without medical education or healthcare experience must successfully complete a Medical Terminology course within six months of employment.
Strong customer service, communication, problem-solving, and multitasking skills required.
Ability to work independently, manage stressful situations, and maintain professionalism in fast-paced environments.
Strong computer, keyboarding, and technical navigation skills required.
Basic understanding of insurance terminology preferred.
Must reside within 100 miles of the Mayo Support Center in Rochester, Minnesota.
This position is not eligible for visa sponsorship or transfer support.
Payment
Hourly pay range: $21.13 – $29.63 per hour.

Schedule
Full-time position.
80 hours per pay period.
Monday–Friday with varied shifts between 7:00 a.m. and 6:00 p.m.
Occasional Saturday morning shifts may be required in select departments.
Hybrid work model with occasional on-site expectations based on operational needs.
