Role Overview

Mayo Clinic is seeking a full-time Healthcare Support Specialist (HSS) to support Emergency Department operations in Rochester, Minnesota. This role helps facilitate patient visits and supports healthcare providers by coordinating appointments, preparing patients, managing patient information, and assisting with daily clinical and administrative operations.

The Healthcare Support Specialist serves as a direct resource for patients while supporting patient flow, scheduling, navigation, and communication within a fast-paced emergency care environment. Strong customer service, communication, multitasking, and problem-solving skills are essential.


Responsibilities

  • Coordinate and support patient visits, appointment scheduling, and daily provider activities in a multispecialty healthcare environment.
  • Prepare patients for visits and procedures, including managing patient materials and pre-examination information.
  • Verify patient demographics and insurance information and communicate scheduling updates or delays.
  • Schedule and reschedule tests, consults, and patient appointments through multiple communication channels.
  • Measure and document patient vitals according to practice guidelines.
  • Process administrative tasks including insurance verification, ABN forms, and appointment communications.
  • Assist with patient care activities including restroom assistance, clothing changes, IV removal, and support during procedures.
  • Support access and navigation activities by greeting patients and visitors, verifying appointments, and assisting with facility navigation.
  • Enforce entrance and visitor policies including masking and badging procedures while coordinating with security and healthcare teams as needed.
  • Use multiple electronic systems, devices, and medical technologies including tablets, kiosks, and electronic health records.
  • Maintain effective communication, conflict de-escalation, and positive patient interactions in a rapidly changing environment.
  • Assist with cross-coverage and travel between locations as needed.

Qualifications

High school diploma or GED with a minimum of two years of customer service experience in a multitasking environment such as:
Call center
Administrative office
Medical office
Appointment scheduling
Retail or service industry

OR

Associate degree required.

Associate degree coursework in a healthcare-related field preferred, including:
Medical Assistant
Medical Office
Administrative Clinic Assistant
Healthcare Receptionist programs

Exposure to electronic health records preferred.

Strong communication, organizational, multitasking, and problem-solving skills required.

Ability to remain calm under stress, handle emotional situations professionally, and maintain positive communication.

Ability to work independently, prioritize tasks, and adapt quickly to changing clinical needs.

Must be comfortable working directly with patients with diverse healthcare needs.

Basic Life Support (BLS) certification may be required in some areas.

Employees without medical education or experience must complete a Medical Terminology course within six months of employment.

Ability to push or pull up to 75 pounds occasionally required.


Payment

Hourly pay range: $21.55 – $30.22 per hour.

Schedule

Full-time position.

60 hours per pay period.

Monday through Friday 12-hour shifts from 11:00 a.m. – 11:30 p.m.

Every third weekend required with overnight shifts from 7:00 p.m. – 7:30 a.m.

Schedule flexibility required based on department and clinical needs.


Location

Rochester, Minnesota.

On-site Emergency Department position at Mayo Clinic.
